Trek or Treat is Friday, October 26th! Below we have put together a complete guide to race night activities, along with important information to make the most of your Trek or Treat experience. Please read this information carefully. We look forward to welcoming you to Trek or Treat 2018!

👻 FRIENDLY GHOST REMINDER

Over the last several years as demand has outpaced availability in our event, we have seen an increasing number of non-registered individuals participating in both the run and our indoor festivities. Taking into consideration limited space, insurance requirements, supply management and the integrity of the event for those who have registered, we have implemented a few changes this year to ensure that YOUR experience is the best that it can be:

OUTSIDE:

Spectators are welcome to enjoy the outdoor displays, Beaver Tails truck and finish line excitement at no cost. There is an overhang at the entrance to the building to protect from inclement weather, and there is access to the indoor washrooms through the lobby.

 

Our staff will be monitoring the start line area to ensure that only those individuals with visible bib numbers, participate in the 5KM run and the Creepy Mile. Please ensure that your bib is visible on the front of your costume or jacket.

INSIDE:

Only those registered in our Creepy Mile or 5KM run will be allowed into our indoor site (no bib = no entry). We will be strictly enforcing this policy this year. Any additional individuals accompanying registered participants (grandparents, babysitters, etc.) wishing to participate in the indoor Halloween party can purchase an entry pass on-site for $5. Cash only (pizza not included and not available for purchase).

LOCATION AND PARKING

Trek or Treat takes place at the St. Volodymyr Cultural Centre located at 1280 Dundas Street West in Oakville. Free parking is available on-site. The closer we get to race time, the busier the parking gets! Consider carpooling. Please arrive with ample time to park, pick up your bibs, get them pinned to your costumes and get to the start line. Please follow instructions of our parking marshals.

BIB PICK UP AND START TIMES

EARLY PICK UP:

We know that Friday evening can be tough! Take advantage of our early bib pick up to save time on run day. Early pick-up is from 6 p.m. – 8 p.m. on Tuesday, October 23 at Gears Bike Shop in Oakville (547 Trafalgar Road). You can pick up your team’s Creepy Mile bib package and/or your 5K bib – and yes, you can pick up on behalf of family and friends.

EVENT DAY PICK UP:

Bib pick up for the 5KM is available from 5:00 p.m. We recommend that 5KM participants pick up their bibs no later than 7:15 p.m.

BIB DETAILS:

Please wear your bib on the front of your costume.

If you are racing with multiple family members, please ensure that you have your correct bib on, for timing purposes.

Please note that if you are registered in the 5K and Creepy Mile events, you will only receive one bib (which will be located at the 5KM registration line). You will need to pick up both your team’s Creepy Mile and any 5KM bibs.

For 5KM runners, your disposable chip is embedded on the back of your bib. Please avoid crossing the start mats prior to the beginning of the run.

Your bib has one tag for “pizza” that can be exchanged for a slice, and one tag for “prize” which can be entered into our draw.

START TIME:

The 5KM starts at 7:45 p.m. sharp. The start line is located in front of St. Volodymyr’s under the giant finish line arch. A lead rider will guide the first participants on the course. A bicycle paramedic will follow the last walker.

ACTIVITIES

Plan to arrive early to take advantage of face painting, balloon animal artist, magic shows (5:45 p.m., 6:15 p.m. and 7:50 p.m.) and free portraits by our professional photographer in front of our stunning fall backdrop (a link to download high resolution photos will be supplied after the race). There are also fun Halloween displays to enjoy. Be sure to put your “Prize” bib tag in the prize bucket on the main stage to be entered to win draws from our sponsors. A Beaver Tails truck will be in the parking lot for those wishing to purchase some yummy treats!

FLASHLIGHTS AND HEADLAMPS

Do not be deceived, the race course is dark! It is mandatory that all participants (excluding those in strollers) carry a flashlight or wear a headlamp. Our course markers are only illuminated when a light shines on them. Although a portion of the Creepy Mile has some ambient street lighting, at least half of the mile is dark. There are no scary displays on the Creepy Mile.

If you have already rented one of our Princeton Tec headlamps, please ensure that you arrive with enough time to pick up your headlamp at the headlamp table inside. You will be required to leave a piece of ID in order to receive your headlamp rental. We have a limited number of headlamps available for rent on-site at a cost of $10 each (first come, first serve).

STROLLERS

Strollers are welcome in the 5KM Run/Walk. We encourage those of you with strollers to start at the back, ahead of the walkers. You will need to be aware of one smaller gate area that may cause a bottleneck with larger jogging strollers near the start of the 5KM race. Please use common courtesy.

CANDY STATION

There is one water station on course.

DOGS

Pets are not permitted on the grounds or in the event. Please leave Fido at home.

WASHROOMS

There are washroom facilities inside the venue.

CLOTHING

Trek or Treat goes rain, moonlight or snow! Please dress for the weather. It can be cool, wet and windy at this time of year. Hats, mitts and warm/weather resistant jackets are recommended.

FOOD DONATIONS

Please don’t forget to bring a food donation for the Oakville Fareshare Food Bank. Our goal is to raise 1,500 pounds of food. You can find a list of most needed items here. Please place your donations into our bright orange “pumpkin” food donation box, inside St. Volodymyr.

POST RACE

A pizza slice (exchange “Pizza” bib tag for slice), candy and hot chocolate will be waiting for 5KM runners with a BIB inside the main building. Official times will be posted online and on-site. Medals are provided to all 5KM finishers.

ALLERGY ALERT

All the candy served at Trek or Treat is peanut free, except for products in our gluten free goody bags. However, third party vendors (including pizza, Beaver Tails, hot chocolate and others) cannot guarantee products are free of nuts or other allergens. Other food items may also enter the facility that are not peanut/nut free. Please exercise caution if you have an allergic child – this is not an allergen-free event.

REMINDER

We would like to remind participants to kindly refrain from dumping contents of our candy bowls into personal purses, backpacks, pillowcases, etc. Candy is for everyone and we want to make sure all the kids can enjoy candy on race night. Please be considerate of other participants and children. Thanks so much for your cooperation!

REFUNDS OR TRANSFERS

We do not issue refunds for ANY reason. This includes medical emergencies, death in the family, illness, etc. No deferrals to 2019 or transfer to another participant can be made after October 11th. We appreciate your understanding.
